Staff and Payroll

Staff records, attendance, leave and payroll

What it is. One place for everything about your people: who works for you, when they worked, what leave they have taken, and exactly what they are owed at the end of the month. Attendance, leave, scheduling and payroll in one system instead of four spreadsheets and a paper book.

Why it exists. Across several outlets, this information usually ends up spread between a manager’s notebook, WhatsApp messages and spreadsheets. At month end, someone has to piece it all together before payroll can be finalised. Payroll software handles the pay itself. Leave, rosters, shift swaps and claims usually still sit outside it, which is why month end involves chasing people.

  • Staff records, contracts, documents
  • Attendance with approved corrections and a full audit trail
  • Leave requests, balances and approvals
  • Shift scheduling per outlet, with swap requests and roster sign-off
  • Expense claims with categories, receipts and approvals
  • Payroll runs with EPF, SOCSO and EIS
  • Closed months can only be changed through a logged correction

Business Website

Website + Google Business Profile

What it is. A fast, mobile-first site that says what you do and what it costs, with your Google listing set up properly alongside it. The domain, the content and the code are yours.

Why it helps. A website gives customers one place to check your services, prices, location and contact details before they message you. We set up the Google Business Profile alongside it so the information people find in search matches the site.

  • Designed mobile-first
  • Google Business Profile setup and optimisation
  • Booking links and WhatsApp built into the site
  • English, Chinese, Malay or Tamil
  • Domain and analytics access handed over

Custom Systems

From one screen to a whole platform

What it is. Software built for one job in your business that nothing off the shelf does properly, such as stock that moves between outlets or commission that is currently worked out across several spreadsheets. We write and host it. The code is yours.

Why it exists. A lot of businesses have one process that depends on the one person who knows the spreadsheet. If that person is away, the process waits. A small system with logins, an approval step and a record of changes removes that dependency.

  • A written scope and a fixed price before any work starts
  • Your existing spreadsheets brought in, with a report of what matched and what did not
  • Logins, roles, approvals and a change log as standard
  • Screens in English and Chinese, switched with one tap
  • Hosted and looked after, or installed on your own server
  • Encrypted backups every night, stored off the server, on hosting we manage
  • The code and the data are yours

What it can be

  • Sales trackerEvery deal, who owns it and where it stands, in one place instead of a shared spreadsheet.
  • Finance trackerIncome, expenses and receipts in one book, with a month-end lock.
  • Ad campaign trackerSpend, leads and sales per campaign, so you can see which ads pay for themselves.
  • Stock and ordersStock that moves between outlets, with every order and who approved it.
  • Commission calculatorCommission worked out from your sales records instead of across spreadsheets.
  • Job and delivery boardEach job from request to done, with who is on it.

Small builds

Bakery

Digital punch card

A tablet at the counter. Staff tap their name and a four-digit PIN to clock in and out, and the owner sees hours, lateness and overtime per person per outlet, with a payroll-ready export at month end.

Tap Mira, PIN 1234, then Owner login, PIN 1111

Dental studio

Booking reminders

Tomorrow’s bookings as a list, one tap each. WhatsApp opens with the reminder already written, and each sent row keeps the time and the reply, so nobody is messaged twice.

Click any Send button, then try the Recalls tab

Mid-size builds

Hair studio

Campaign site builder

A one-file generator for a hair studio’s promotional site. A new offer is a text edit and a rebuild.

Household and company books

Finance viewer

Several years of account books kept in Excel, brought into one place.

Large builds

Driver service

Driver booking platform

Each booking needs a fare the customer agrees to, a driver who takes the job and a payment the operator can check. The booking site, the driver app and the operator’s dashboard are one system.

Import and distribution

Sales and stock system

Orders from trade customers, stock followed by batch and expiry, and deliveries, in one system.

Pricing

Pricing

How pricing works

Each system has a setup/build fee, followed by a monthly maintenance fee. The monthly fee covers hosting, support and ongoing changes.

Every price is set out in a written quote before any work starts.

Process

How it works.

We start with a discovery call

A meeting, online or in person if you’re nearby. We look at where the time goes now, whether that is unanswered enquiries, missing attendance records or repetitive admin, and start from the problem before deciding which system fits.

You get a fixed quote in writing

Scope, price and timeline on paper, phase by phase, before any work starts. Work begins the week we have the signed quote and the first payment.

We build it and bring your records across

We set the system up around your hours, services and prices and move your existing records in, whether that is staff and leave balances, customers or stock. Each phase lands on the dates in your timeline.

You test it before anything goes live

When the build is finished, you and your team use it for real during a testing window. For payroll, we rebuild your last month and compare it with yours line by line. Anything that does not match is fixed and tested again.

  • Your own records, not sample data
  • Every fault you report is fixed and re-tested
  • Nothing goes live until you sign it off

You sign off, then we go live

Any balance is invoiced once you sign off testing, and we switch you over when it is paid. Everyone who will use the system is shown how it works, in person where practical and over video elsewhere.

We review the first week, and support continues

After the first week we go through anything that felt unclear or took more steps than it should and adjust it. From then on the monthly fee covers hosting, support and changes as the business grows, month to month.

About us

Our mission.

Dawnbreaker Digital Sdn. Bhd. is a Malaysian company that builds payroll, attendance and leave systems, custom business systems and websites for businesses that have outgrown spreadsheets, paper records and repetitive admin.

We build three things: staff and payroll, business websites and custom systems, from a one-screen punch card or WhatsApp booking reminders to a full booking platform. Each works on its own, so you can start with the one you need instead of buying a large package.

We build and support the systems ourselves. That includes setup, staff training, troubleshooting and ongoing updates. Our work focuses on software development, database design and data protection, especially for systems that handle staff, payroll and customer information.

We support businesses across Malaysia. Setup and support can be handled remotely, with on-site work where practical.

If something goes wrong, you contact us directly. If you decide to leave, your data can be exported and there is no exit fee.

FAQ

Common questions.

General

What if we stop working together?

Your data can be exported at any time, and we do not use proprietary file formats to lock you in. If you ever need to move away from us, we provide the data and access needed to do that. Day-to-day support is included and you contact us directly.

Where do you work?

We work with businesses across Malaysia. Setup, training and support can all run over video, because the systems run in a browser. On-site installation is available where we can reach you.

Can you build something that is not on this page?

Yes. Tell us the job and we will say whether it is a two-day fix or a build, and what it costs, in writing, before anything starts. The smallest builds take under three weeks from sign-off, and bigger builds are timed in your quote. You own the code at the end.

What if I already have a website?

Tell us what is wrong with it before you replace it. Often the site is fine and the Google listing is the problem, which is a much cheaper fix and a much shorter conversation.

Will my staff think the punch card is surveillance?

It only records clock-in, clock-out, breaks and approved corrections. There is no location tracking or monitoring while someone is working. We normally explain it to staff as a shared attendance record so both sides can see the same hours.

Won’t customers find booking reminders annoying?

One message the evening before is the norm and most people are glad of it. It is the third and fourth that irritate. You send one, the console records that it went, and it will not offer that customer again.

Why are booking reminders not fully automatic?

We keep a person in the loop. The message is prepared for you, but someone checks the booking and presses send. That also gives staff a chance to catch cancellations or changes before the message goes out.

Pricing

Why monthly instead of buying it once?

Because it is not finished on day one. Rates change, outlets open, staff turn over, and something always needs adjusting after the first month of real use. The monthly covers hosting, support and someone actually working on it. Websites and custom builds have a build price first, then a monthly fee that covers the same things.

How much does a custom system cost?

It depends on how many screens, roles and integrations there are. You get the number in writing before we start, and it does not move unless the scope does. Payment terms are set out in your written quote. After go-live there is a monthly fee, which is also set out in writing before we start.

What makes a website cost more?

What the site has to do. The base price is for a site of up to six pages in two languages, with the copy written together with you and your Google Business Profile set up. It costs more when you add features, such as a booking request form, a page that shows a courier's tracking status, or live figures such as your review count. Extra pages and languages add a little, and photography is extra, at cost. Tell us what you need and we will give you a fixed price before any work starts.

Setup and support

What do I need to provide?

Your hours, your staff list, and a tablet or spare phone if you want attendance. That is enough to get started. If you are missing something we sort it out on the call.

How long does setup take?

Staff and Payroll, the punch card and booking reminders are set up in under one week, counted from the day we have your records. A business website takes under one week from the point we have your photos and prices. Other custom builds take under three weeks from sign-off for the smallest, and bigger builds are timed in your quote.

How do we know the pay is calculated correctly?

Our sen-to-sen promise. Before you switch, we rebuild your last payroll in the system and compare it with yours line by line. You go live only when every sen matches, or we have shown you exactly why it differs. After that, EPF, SOCSO and EIS are worked out against the current statutory tables.

My staff aren't good with technology. Will they use it?

It is two taps and a four-digit PIN, deliberately simpler than a phone lock screen. Try the punch card demo above. If it takes you more than five seconds, tell us and we will simplify it. We train everyone, in person where practical and over video elsewhere, and at the end of week one we sit down and fix whatever your team found annoying.

What happens to a month once payroll is done?

You lock it. After that, a punch, leave day or pay rate can only be changed through a correction. The system keeps the old value, the new value, the reason for the change and who approved it.

What if the punch card tablet dies?

With the punch card on its own, the data lives on that tablet, so export it weekly. If you also run Staff and Payroll, attendance is held on the server and the tablet is only a window onto it. A dead tablet costs you nothing.

Your data

Is our payroll data secure?
  • Your own system. Each client gets its own copy of the system and its own database. No other client's records are in it.
  • Three roles can open payroll. Inside the system, only the Owner, HR/Admin and Treasurer can open payroll. Managers have no screen that shows what their team earns, and staff can open only their own payslips.
  • Sign-in. There is no sign-up page: every login is created by your Owner or HR, or by us when we set you up. Passwords are stored scrambled one-way, so nobody can look one up, including us. After 20 wrong passwords, sign-in pauses for at least 15 minutes.
  • Every pay change leaves a record. A change to a salary or a bank account is logged with who made it, when, and the old and new values. A salary change needs a written reason. The system has no screen for editing or deleting that log.
  • Secure and encrypted backups. Every night your database is backed up and encrypted on the server. The server holds only the half of the key that locks. The half that opens is not kept on any server, so a stolen backup file cannot be read. A copy of the database goes to separate storage each night, locked against deletion for 30 days. We have rebuilt every current client's system from its backup on a fresh server: every table matched, and the slowest took under five minutes.
  • Clock-ins. You can limit clocking in and out to your office network or office IP address.
Who can see our data?

You, the staff you give access to, and us when you need support. It is never sold or used for marketing. Our hosting and backup providers store it for us, and the backup copies we make are encrypted before they leave the server. If you leave, you export everything and we delete the live copy.

Do I own a custom system?

Yes. The code written for you and your data are yours once the build is paid in full, and you get your own copy of the code. We host and run it for you. If you leave, you take the code and a full copy of your data. Standard parts we reuse across clients stay ours, with a permanent licence for you to keep using them.

Do I own my website afterwards?

Yes: the domain, the content and the code are yours. We host it for you, and if you leave we hand over the files so any other developer can take it on. The monthly fee is set out in your quote.

Can I edit someone's hours myself?

Yes, and every change is logged with the old value, the new value, your name and your stated reason. Every edit is logged so there is a clear record if the hours are questioned later.
